When to pick each

None of the four is «best for everyone»

Each product has cases where it fits better than the others. Below are short selection profiles.

Notion

When you need the world's best text editor and built-in AI, and Russian hosting and ruble billing aren't critical. Great for distributed teams and personal wikis. Drawbacks: USD card payment, no Russian software registry entry, no 152-FZ, price for 30 people is around 22,800 RUB/month.

Bitrix24

When you need an all-in-one at a fixed price for a small team and don't mind a heavy interface. Strengths: CRM, telephony, sites. Drawbacks: dated architecture, disjointed modules without a unified data model, team training takes weeks.

Kaiten

When the goal is only Kanban project management and you don't need tables, documents, or dashboards. Strengths: clear UX, focus on one thing. Drawbacks: per-seat (400 RUB/user/month — more expensive than flat models at 30+), no tables at the core, no built-in documents.

Struktura

When you need tables with types and formulas at the core + on-premise + a Russian stack + minimal switching between tools. Fits teams of 5-500 tired of juggling Excel, Jira, Notion, and Slack. Drawbacks: chat and virtual office are still in development (2026 release), registry submission in progress.

Detailed breakdown

Comparison across 4 categories

Data, processes, teamwork, and enterprise readiness — specifically which modules are stronger where. Where we're catching up, we say so.

Tables with types and formulas

Struktura: 26 column types, formulas, links between tables, row- and column-level permissions. Notion: tables as blocks within pages, formulas exist, no row permissions. Bitrix24: no lists as such, everything runs through CRM entities. Kaiten: no tables.

Documents and co-editing

Struktura: documents linked to tables and knowledge bases, simultaneous editing. Notion: best-in-class editor, AI assistant. Bitrix24: built-in editor, but without deep CRM integration. Kaiten: documents are a separate module with basic functionality.

Dashboards and reporting

Struktura: visual dashboards on data from any tables, no exports to BI. Notion: only related database views, no separate charts. Bitrix24: reports inside CRM, not cross-module. Kaiten: Kanban board metrics, no tables.

Kanban and boards

Struktura: Kanban view of any table without data duplication. Notion: Kanban view of databases. Bitrix24: a separate «Tasks and Projects» module with Kanban. Kaiten: the product's core — the best Kanban implementation in the Russian market.

Automations and scenarios

Struktura: triggers on changes, webhooks, open API. Notion: automations arrived in 2024, limited. Bitrix24: business processes exist, but setup requires a consultant. Kaiten: board automation rules, no cross-module scenarios.

Data collection forms

Struktura: forms linked to tables, responses land in rows without integration. Notion: no forms, you need Tally or Google Forms. Bitrix24: CRM forms for leads. Kaiten: no forms, only cards.

Chat and discussions

Struktura: chat is in development, 2026 release. Notion: comments in documents, no separate chat. Bitrix24: a full messenger with video calls. Kaiten: comments in cards.

FAQ

Frequently asked questions about choosing

What we get asked most often on demos.

How is Struktura better than Bitrix24?
The main difference is architecture. Bitrix24 is a set of modules that grew around CRM, with separate stores for tasks, leads, documents, and sites. In Struktura everything is built around a single data model: tables with types and formulas. Kanban, dashboards, forms, time tracking — they're all views on the same tables. In practice that means fewer switches between modules, less duplicated data, a single permission system. Bitrix24 is stronger in CRM, telephony, and built-in chat — Struktura is honestly catching up on chat and virtual office (2026 release).
How is Struktura better than Notion?
Struktura is a Russian product with data stored in Russia, ruble invoicing, Russian-language support, and submission to the Russian software registry (in progress). Notion is an outstanding document editor with built-in AI, but its servers are in the US, payment is by USD card, and it doesn't fit 152-FZ. If your data is personal data of Russian citizens or a trade secret, Notion isn't an option regardless of its strengths. On functionality — Notion has the best document editor on the market; we're stronger on tables (26 column types, row-level permissions) and dashboards.
How is Struktura better than Kaiten?
Kaiten is a specialized Kanban tool: one job done well. Struktura is a multi-product workspace of 10 modules. If your team only needs Kanban boards and doesn't need tables, documents, dashboards, and forms — Kaiten is the better choice. If you use Kaiten + Notion + Excel + Google Forms together, Struktura replaces the whole stack. Pricing for a 30-person team: Kaiten ~8,400 RUB/month, Struktura 15,000 RUB/month — but one product instead of four subscriptions.
And if we already use Bitrix24, can we migrate?
Yes. Typical scenario: export tasks, contacts, and deals to CSV, import into Struktura with field mapping. On the Enterprise plan we do turnkey migration — including change history and attachments. For teams up to 50 people, migration takes 1-2 weeks; for 100+, up to a month. Parallel work in two systems is possible during the transition — syncing via the open API. Request a migration estimate via the form below.
What if we need features that none of these products have?
This is typical for teams of 50+. On the Enterprise plan we build custom integrations — with 1C, BI systems (Yandex DataLens, PowerBI, Apache Superset), corporate SSO providers, telephony, and HR systems. There's also an open API and webhooks for your own integrations — on the Business plan and up. If functionality isn't there in principle — write to us, we have a public roadmap and accept improvement requests.
What's the minimum team size that makes a switch to Struktura worthwhile?
From 3 people — on the free «Start» plan (up to 5 users). Real savings start at 10: Notion Team for 10 = ~7,600 RUB/month, Struktura «Team» = 5,000 RUB/month. At 30 people: Notion ~22,800 RUB/month, Struktura 15,000 RUB/month — a ~93,000 RUB/year difference. With annual billing there's a ~17% discount — even bigger savings. If your team is under 5 people and you don't need automations, you can stay on «Start» indefinitely.
